Terms of Service

These are the rules for using Holdfort. We've kept it plain. If anything's unclear, email hello@holdfort.uk and we'll explain.
1. Who we are
Holdfort is a WhatsApp-based invoicing service operated as a UK sole trader business, based in the United Kingdom. Contact: hello@holdfort.uk.
2. What you get
A WhatsApp number you can send voice notes, photos, and messages to. Holdfort turns them into PDF invoices you can forward to your customers. For multi-day jobs Holdfort also tracks line items, stages, variations, and running totals against your quote.
You always see every invoice before your customer does. You're always the one who hits "send" to your customer. Holdfort will never send an invoice to a third party without you approving it first.
3. Free trial
Your first 7 days are free. No card needed to start. At the end of the 7 days the service stops working unless you choose to subscribe — we don't auto-charge you at the end of the trial.
4. Subscription and payment
£29.99 per month, billed in advance, monthly rolling. No minimum term, no contract.
We'll tell you clearly before any price change, and you'll have at least 30 days to cancel before a new price kicks in.
5. Cancelling
Message us "cancel" on WhatsApp — that's it. No forms, no phone menus, no "are you sure" loops.
When you cancel, your access continues until the end of the month you've already paid for. We don't pro-rate the current month, but we also don't charge you again.
6. Refunds and your consumer rights
Under the Consumer Contracts Regulations 2013, you normally have a 14-day cooling-off period on online purchases. Because Holdfort is a digital service that starts working as soon as you use it, choosing to generate an invoice during that period means you've asked us to begin immediately — which, under the regulations, waives the right to cancel the already-performed portion. You can still cancel future billing at any time under section 5.
If something's genuinely broken on our side, email hello@holdfort.uk and we'll sort it out fairly — including refunds where appropriate.
7. What's yours, what's ours
Your invoice data, customer details, branding and business information belong to you. You can export them any time by emailing us. We only use them to run the service for you and to comply with the law.
The Holdfort software, brand, name, and site belong to Holdfort.
8. Acceptable use
Don't use Holdfort to create fraudulent, misleading, or unlawful invoices. Don't use it to harass anyone. Don't try to break the service or resell it. We can suspend accounts we reasonably believe are being misused.
9. What we can't promise
Holdfort depends on third-party services (WhatsApp, AI providers, the internet). We aim for high availability but we can't guarantee uninterrupted service. AI-generated invoice drafts may occasionally make mistakes — which is exactly why every draft is shown to you for approval before it goes anywhere.
We're not liable for business losses caused by outages, misinterpreted voice notes you didn't correct, or third-party failures. Nothing in these terms limits any liability that the law says we can't limit — including for death or personal injury caused by negligence, fraud, or any other liability that can't lawfully be excluded. Your statutory rights as a consumer under UK law are not affected by these terms.
10. Privacy
How we handle your data is in the privacy notice. Short version: we never keep your voice notes and we never sell your data.
11. Governing law
These terms are governed by the law of England and Wales. Any disputes we can't sort out between us go to the courts of England and Wales.
12. Changes
If we change these terms in a way that matters, we'll tell you on WhatsApp and give you at least 30 days before it takes effect. If you don't agree, you can cancel under section 5.
